Education Verification

Overview

An Official Academic Record Verification letter is a record summary that provides the dates of attendance at the university, degrees awarded or in progress, and statuses such as class level and full- or part-time enrollment. Individual course and grade information is not provided.

There are two types of verifications: General vs. Restricted Verifications

With the exceptions noted below, all verification information for university-approved credit is maintained by the Verification department. Official academic record verifications are released in compliance with the Family Educational Rights and Privacy Act (FERPA) and can be requested by mail, online (third-party requests) or by fax. Recently enrolled students may view their enrollment histories in Experience USC.

Exceptions:

  • For verification of medical student records prior to 1993, contact the Keck School of Medicine directly at (323) 442-2553 or medstuaf@usc.edu.
  • For verification of DDS student records prior to 1993 and Dental Hygiene student records prior to 2000, contact the Ostrow School of Dentistry at (213) 740-1001 or dental.oaa@usc.edu.
  • Alumni can request hard-copy verifications online. Recent graduates with holds on their records will have their requests rejected, unless they are attempting to defer student loans. In these cases, the requester must show the appropriate supporting documentation at the time of the request.

    The University of Southern California has authorized Parchment to act as its agent for the processing of online verification orders. Parchment collects all required fees and forwards the request to the USC Registrar’s office, where verifications are printed and released.

    This service, to be used solely for official verifications, is available only to alumni enrolled in classes in 1980 or later.

    Instructions: 

    1. You will be asked to create an account on the verification site. First-time users must sign and submit a “Consent to Release” form before a verification order can be processed.
    2. When placing your order, you will need to enter your academic record ID (10-digit USC ID or nine-digit SSN) and your dates of attendance at USC.
    3. Have your credit card name, number, and expiration date available. There is a $2 processing charge per order. Visa, MasterCard and Discover are accepted. Payment on the card will be pre-authorized, but your credit card will not be billed until the verification order is fulfilled by USC.
    4. Confirmation will be emailed to you when your order has been processed. Official verifications may be ordered any time through Parchment.

    This service is available from approximately 12:00 AM to 11:00 PM PT. However, requests are processed Monday through Friday during normal business hours, except on holidays and during Winter Recess.

  • Use this service for official verifications only. The University of Southern California has authorized Parchment to act as its agent for processing orders of electronic verifications in PDF format. Parchment collects all required fees and forwards the request to the USC Registrar’s office, where the verification is produced and released. Parchment uses the highest standards for security, and the service is compliant with the Family Educational Rights and Privacy Act (FERPA). This service is available from approximately 12:00 AM to 11:00 PM PT.

    Electronic verifications are available only to alumni who first enrolled at USC in 1980 or later.

    Before You Place an Order

    Recent graduates must clear any holds on their records before the Transcript department will process the order. Recently enrolled students can check for holds on Experience USC. They should also check to ensure that any pending grades, degrees or changes have been posted to their record prior to placing a verification order on Experience USC.

    Placing a Verification Order

    If you are a USC alum: You can access the USC Verification Ordering Site at Parchment.

    1. You will be asked to create an account. First-time users must sign and submit a Consent to Release form before a transcript order can be processed.
    2. Provide your academic record ID (10-digit USC ID or nine-digit SSN) and your dates of attendance at USC.
    3. Under the “Record Order Services” header, click on “Send an Electronic Verification,” and then follow the instructions on the USC Verification Ordering Site at Parchment.
    4. You will receive an email confirmation when your order has been processed.

    Please note that first-time visitors will be asked to provide minimal contact information. For questions or difficulties with the Parchment site, please contact the USC Registrar’s office at gtv@usc.edu.

  • The University of Southern California has contracted with the National Student Clearinghouse to provide 24/7 degree-checking services for alumni, students and employers around the world. Please note that you must register your company information with the National Student Clearinghouse to use this service, and there is a fee associated with the service.

    As of January 31, 2005, verbal verification of academic information is no longer offered.

    Third-party requests made in person or by postal mail for verifications containing grade point average information (GPA) must be accompanied by a written authorization from the record owner specifying the third party as their agent. The third party must present their own photo ID as well as a copy of the record owner’s valid photo ID. This is required to maintain compliance with the Family Educational Rights and Privacy Act (FERPA).

Additional Information

The electronic verification service allows you to request your official USC verification online. Within minutes of receiving your order, USC will release a secure, digitally signed verification file in Portable Document Format (PDF).

During the ordering process, you will be asked to provide the email address of the intended recipient (person or entity) of your official USC verification. Once the order has been executed, two emails will be sent to the recipient. The first email will be a notification of the available verification and the web address of the secure website where it can be found. While at the website, the recipient will be prompted to request that a passcode be emailed to them.

The second email will provide a passcode that allows the designated recipient to retrieve the verification from the secure website. The verification is released as a PDF that contains a digital signature. The digital signature ensures that USC’s identity has been verified by a trusted third party and that the verification is valid and has not been altered.

A status bar or pop-up screen (depending upon the version of the software being used) will display a message indicating whether or not the verification should be considered valid or invalid.

Because of the special characteristics of the digital signature, the recipient must view the PDF using Adobe Reader version 9.0 or higher or Adobe Acrobat version 9.0 or higher.


Attention: Mac/iPad Users

The PDF software utilizes Adobe’s secure certified PDF technology and therefore may only be viewed using the free Adobe Reader or Adobe Acrobat. If you attempt to view the USC transcript without the Adobe software, the default Mac application, Preview, will not display the document correctly and instead will show a blank document.

The recipient of your verification has 30 days from the time of notification to download the verification. After 30 days the passcode will become invalid, and a new order will have to be initiated. (Three unsuccessful tries will also invalidate the passcode.) The PDF does not expire once downloaded. The PDF is available for printing with a watermark. USC is able to rescind the PDF verification in the event that an error occurs or if USC suspects unauthorized use of the PDF.
